Today I am going to talk about the meeting in general. Recently, like many other teams, our group gathered up almost everyday. Actually meeting can be defined in various names and types. For instance, by the formation or people that participate a meeting can be called ‘stakeholders meeting’ or ‘daily stand ups’. What our group is doing is daily stand ups. To explain more about daily stand ups, according to Wikipedia it is ‘a meeting in which attendees typically participate while standing. The discomfort of standing for long periods is intended to keep the meetings short.’ Though we do not actually stand up and hold the meeting, we tend to keep it simple as possible. As a project manager, it is me that fixes and schedules the stand up meetings for the team. How I do this is rather plain. At the end of the week, I gather everyone’s schedule for next week. I could just look at the school schedule but since there are some unexpected changes, I mostly ask each person individually. After that I form a demo version of schedule chart and announce it to everyone to see if they are ok with it. If there are no issues, the demo version is published on google doc in the meeting note. However, problems occur sometime. As all of the team members have different minors, we all have different lecture times. For example, my class starts at 10 and finishes at 12. The programmer finishes at 11 and game designer starts at 1. So sometimes if this happens we manage to do stand ups on slack. At 11pm I notify everyone on slack to write what they have done today and the members would write what they have worked for the day. The reason we do frequent meetings like stand ups is to grasp the project itself. Project is not an individual work but a team work. Thus, it is important for the members to have same image of the project. If not, the work would be easily ruined. By having a meeting, the team tends to communicate about the project and discuss how to develop it. The more we talk about it, it is much more likely to grasp the identical picture of the project. Otherwise the team would be lost and the completion would be mottled rather than having one identical color. |
